Oh, the magic of a baby shower! There’s something incredibly special about coming together to celebrate the arrival of a little one.
But let’s be real for a second—while baby showers are fun, planning them can sometimes feel like trying to herd cats.
From selecting the right venue to finalizing the party favors, there are a million little details to juggle. Been there, done that, and trust me, it’s not as overwhelming as it seems—if you have the right baby shower planning checklist.
I’ll admit, the first time I organized a baby shower, I thought I had everything under control. Fast forward to the day before, and I was scrambling to confirm RSVPs, order the cake, and—oh wait—pick a theme? Yikes.
Let’s just say I learned the hard way. But now, after helping plan countless showers, I’ve got the perfect checklist that will keep you cool, calm, and collected as you bring your baby shower vision to life.
Grab a cup of tea (or wine—no judgment here) and let’s break down the ultimate baby shower planning checklist that will have you feeling like a pro from start to finish!
What’s the First Step in Baby Shower Planning?
Set Your Budget and Choose a Date
Before you even think about picking a theme or sending out invites, you need to get real with yourself about how much you want to spend.
Trust me, the budget will be the foundation of everything else—so set it early. Be sure to account for the venue, decorations, food, games, favors, and any extras like photography or party rentals.
Once your budget is set, pick a date! Ideally, you’ll want to hold the shower 4-6 weeks before the baby’s due date.
This gives the parents-to-be time to relax and not worry about shower-related stress. Also, make sure the date works for key people in your circle.
It’s better to check with close friends and family members before locking anything in!
How Do You Choose the Right Venue for a Baby Shower?
Location, Location, Location
Picking the right venue can make or break your baby shower. A cozy gathering at someone’s home?
A lively celebration at a restaurant or park? The possibilities are endless, but the key here is considering the guest list size, your budget, and, of course, the vibe you want to create.
If you’re keeping it small, a home setting can feel intimate and personal. If you’re expecting a larger crowd, look for venues with ample space, like a local restaurant or event hall.
Keep in mind, you’ll need to factor in location-based logistics—parking, accessibility, and weather (if it’s outdoors).
Pro Tip:
Book the venue early, especially if you’re planning a shower during peak seasons. Secure the spot well in advance to avoid any last-minute stress.
What Should You Include in Your Baby Shower Invitations?
Getting the Word Out (Without Stressing Out)
Once you’ve got the venue and date locked down, it’s time to send out invitations. You’ll want to do this about 4-6 weeks before the event.
Allow your guests plenty of time to RSVP, especially if you’re sending physical invitations by mail. In your invitations, ensure that you include all the essential details: date, time, venue, RSVP information, and the baby registry link. The registry is a MUST—no one likes guessing what to buy!
Personalizing your invites to match your theme (whether it’s a chic boho vibe or a classic gender reveal) can also add an extra fun touch to your event. It’s the first impression your guests will have of the party, so make it pop!
Fun Idea:
Consider sending a digital invite for eco-friendly, hassle-free planning. Plenty of websites make it easy to design and send invites online!
How Do You Plan Baby Shower Games and Activities?
Entertainment That Won’t Have Everyone Looking at Their Phones
A baby shower without fun games? Not on my watch! Games and activities are the heart and soul of any great baby shower. The trick is to keep them light, engaging, and—above all—non-awkward. You don’t need to get too wild with games (unless the parents-to-be are into that!).
Popular picks include:
- Guess the Baby Food: Blindfolded guests taste baby food jars and guess the flavor.
- Baby Bingo: A classic that’s fun for everyone and lets guests interact as they wait for the parents-to-be to open gifts.
- Onesie Decorating Station: Set up a craft station where guests can decorate onesies for the baby. It’s an artsy and practical activity.
Pro Tip:
Don’t overload your agenda with too many games. A couple of fun activities will do the trick without making the day feel like a never-ending competition.
What About Food and Decorations?
Keep It Delicious and Themed
Now, on to the good stuff—food and decorations! When it comes to the menu, keep the parents-to-be’s preferences and dietary needs in mind.
You’ll want a variety of food and drink options that cater to everyone (especially if you have guests with allergies).
Whether you’re hosting a full sit-down meal or a light brunch, make sure to have snacks ready for mingling, like finger foods or themed cupcakes.
As for decorations, this is where you get to have fun! Pick a theme—whether it’s “wild one” for a safari feel or “twinkle twinkle little star” for something more whimsical—and let that guide your decor.
Streamers, balloons, and banners are a great way to set the mood. You don’t have to go overboard, but the right accents will make everything feel cohesive.
What Are Baby Shower Party Favors and Thank You Notes?
Sending Guests Home With a Smile
Last but not least, you can’t forget about party favors! Think small, thoughtful, and meaningful. Mini bottles of champagne, personalized candles, or homemade cookies make for great gifts that your guests will actually enjoy.
Once the shower’s over, don’t let those thank you notes slip away. Be sure to send them out within 2-3 weeks. You want to show your appreciation for the gifts and make sure everyone knows their presence made the day special.
FAQ Section:
1. How long before the baby shower should I start planning?
It’s best to start planning around 8 weeks before the event. This gives you enough time to secure a venue, finalize the guest list, and order the necessary items without rushing.
2. What’s the best time of day for a baby shower?
The best time depends on your theme and the preferences of the parents-to-be. A brunch shower can be great for a more relaxed vibe, while an afternoon or evening shower might lend itself better to games and cocktails.
3. How do I organize the gift-opening process?
Set up a designated area for gifts and have someone track who each gift is from. When it’s time to open gifts, make sure the parents-to-be have a comfy chair, and allow guests to enjoy the moment without feeling rushed.
